What's a day in the life for a Program Coordinator? 

The Program Coordinator works in collaboration with team members to support the day-to-day administration of our client's certification programs and internal team operations. The focus of this role will be providing top-notch customer service and administrative support our client's training programs.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Coordinate and support the delivery and administration of training programs in accordance with client requirements.
  • Administer and support client training activities including but not limited to registration, enrollment, testing, scoring and certifications.
  • Respond to high volume of inbound email; respond to trainee questions and information requests.
  • Coordinate the logistics of Instructor Led Training (ILT) classes which include training rosters, manuals, exams, and other materials as needed to deliver the class.
  • Work with internal Accounting staff to ensure timely processing and reporting of customer invoices and payments.
  • Maintain accurate records of class rosters including registration and course completion status.
  • Prepare weekly registration status reports.
  • Participate in client meetings; document and post meeting minutes.
  • Assist with client website updates.

 

Do you have what it takes? 

  • Bachelor degree in a related field required, degree preferred;
  • Minimum of 2 years administrative support and customer service experience;
  • Must have excellent customer service, communication (verbal and written) and interpersonal skills;
  • Detail-oriented, with effective organizational and problem-solving ability, including ability to manage multiple tasks simultaneously;
  • Must be a self-starter, with the ability to work independently with limited supervision, and work well under time-pressure when needed;
  • Experience working in/with other cultures and/or across other time zones a plus;
  • Proficient with Microsoft Office Suite, especially Outlook and Excel; experience with web-based applications, databases or a Learning Management System is a plus.
  • Ability and willingness to travel up to 20% both domestic and international. A valid passport is required
  • Must be able to work at our Wakefield, MA office location
