WANTEDA collaborative team player with an eye for the fine details ready to start a career in Events.  Must be an organized self-starter and have a track record of supporting multiple projects with competing deadlines in a client-facing environment. We are looking for a motivated Events Associate with a "rolled up sleeves" working style eager to join our team!

 

SUMMARY:

The Events Associate assists with the coordination and preparation of event logistics for assigned clients. As an entry-level position, the Events Associate will work closely with the Events Team and other teams to ensure the successful implementation of assigned client event services. This position is ideal for a recent graduate as it provides an opportunity to learn from the ground up and begin your career in the events industry.

A DAY IN THE LIFE WILL INCLUDE THE FOLLOWING:

  • Assist with planning and implementing logistics of meetings, conferences, events, trade shows, and training courses, including: venue selection, food and beverage planning, A/V planning, registration, sponsorship, and coordination of marketing materials and communications.
  • Draft timelines, budgets, CMPs, sponsorship prospectuses, tracking documents, and other event-related communications with oversight from other Events team members.
  • Work with vendors to coordinate catering, audio/visual, signage, promotional items, entertainment, photography, travel, hotel accommodations, etc. to ensure high-quality events that remain within the set budget.
  • Work with event sponsors to ensure benefits are properly received and executed.
  • Coordinate speaker management with the client.
  • Assist with development of event-related marketing materials and conference websites.
  • Coordinate event insurance on behalf of the client (when needed).
  • Available as a back up to Event Coordinator, Specialist, and Managers to travel onsite to events as needed to support event operations.
  • Support coordination of the set-up of online meeting registration systems/sites; create registration reports and provide to the client on a regular basis.
  • Provide support to events team with the establishment of post-conference reports to the client.
  • Provide administrative support to the Events team; manage other projects as needed.

 

DO YOU HAVE WHAT IT TAKES?

  • Associates or bachelor's degree with a concentration in hospitality management preferred;
  • Prior internships in events/hospitality preferred;
  • Must be detail-oriented with effective organizational and project management skills, including the ability to manage multiple projects/tasks and deadlines simultaneously in a fast-paced, deadline-driven environment;
  • Must be a self-starter with the ability to work well under pressure, work independently with limited supervision and have solid problem-solving, judgment, and decision-making skills;
  • Excellent customer service and interpersonal skills;
  • Solid writing and editing skills;
  • High level of creativity and "rolled-up sleeves" working style;
  • Flexibility to work independently and as a team player with other departments;
  • Must be willing and able to travel domestically and internationally as needed;
  • Proficiency in Word, Excel, PowerPoint, and knowledgeable about Adobe;
  • Ability to learn new programs quickly, such as RegOnline, Constant Contact, CrowdCompass, etc. as needed.
